Ashford Communities is looking for a highly organized and efficient Project Coordinator to manage our Special Projects Team. As the Project Coordinator, you will be responsible for scheduling weekly tasks, monitoring daily operations, and making necessary changes based on emergencies or other situations like absenteeism, job delays, etc.

You will also be responsible for maintaining the time log of team members and managing projects on Asana. Additionally, you will provide purchase support for team members going to different stores to handle various jobs and manage equipment/machinery inventory daily.

Your role will also involve establishing material costs and labor costs for each special project and maintaining a database. You will be responsible for billing properties (based on cost or the vendor bid) and following up with Community Managers to obtain the POs after the assignment is done.

As the Project Coordinator, you will manage vinyl plank inventory, monitor quantity for each job, and reorder them as and when stock needs to be replenished. You will also manage the City of Houston Habitability jobs, including but not limited to permit purchasing, scheduling inspections, maintaining an updated database, and uploading all the critical docs.

Your role will involve providing all the necessary support for vendor jobs (Conversions, fire-damaged, rehab) - POs, invoicing, make-ready materials, payments, etc. Additionally, you will manage and confirm payroll hours to HR & People Team on a weekly basis, monitor and reconcile all credit card transactions, and add a preferred Item list for vendors who don't have a storefront.

Requirements:

  • Minimum three years of experience in project coordination (Property Management preferred)
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Proficient in Asana, G-Suite, Quickbooks, Microsoft Office, and other project management tools
  • Ability to multitask and work in a fast-paced environment
  • Ability to work independently and as part of a team
  • Knowledge of the construction industry and material costs is a plus
